3. Note special qualities of the deceased.
____________ was such a kind, gentle soul. She would do anything to help someone in need.
4. Include your favorite memory.
I remember one time _________________.
5. Remind the bereaved of their personal strengths and qualities.
I know how much you will miss _______________. I encourage you to draw on your strength and the strength of your family. Perhaps you could use your special talent of scrapbooking to make a lasting memory book of _________________.
6. Offer specific help.
If you would like, I can come over on Tuesday evenings to help you make your scrapbook. I have some lovely pictures of _______________ I’d love to share.
7. End the letter with a thoughtful closing.

Sign your name _____________________

Keep in mind that this is only an example. Write from your heart and whatever elements you include will be the right ones.
The next page includes information on writing a shorter version of the condolence letter: the condolence note.
You may decide to write a shorter version of a condolence letter on note card or on a small piece of stationary tucked inside a commercial card. If I am close enough to the deceased to have photos of them, I especially like to print one of my favorite photos on a card. That can be done from your computer or from a picture program in your local photo developing shop. (Keep in mind, though, that photos may be a reminder of grief as well as a way to recall happy memories.)
When writing a condolence note, pick just a few elements from the example on the first page of this article. Using components #1, 2, 3, and 7 is a good guide.
1.       Acknowledge the loss and refer to the deceased by name.
2.       Express your sympathy.
3.       Note any special qualities of the deceased that come to mind.
4.       End the letter with a thoughtful word, a hope, a wish, or expression of sympathy e.g. "You are in my thoughts" or “Wishing you God’s peace.” Closing such as "Sincerely," "Love," or "Fondly," aren’t quite as personal.
Remember that this is just a guide. You can use any of the components of a condolence letter in your note or none at all. The most important thing is to write from your heart.

Dear ______,
I was so saddened to hear about _______’s death. It was so unexpected.

2. Offer Sympathy

I am thinking about you and your family during this very difficult time.

3. Mention special qualities of the deceased.

I will always remember _______’s calming presence during…

4. Find a special memory to share.

I remember the time when _______ went …

5. Offer specific help.

I will call you in a few days to see if you need help with the children or with shopping.

6. Remind the bereaved of their personal strengths or special qualities.

I know that your faith, family and friends will help you make it through this challenging time.

7. Thoughtful Closure

To quote a Josh Groban song,
"I know you’re there. A breath away's not far to where you are."
You will be in my thoughts,

Subject: – Condolence on death of your husband
Madam,
To begin with, accept my deepest condolence on the sad demise of yourhusband Late Yohan Kulkarni. Yohan was one of the employees working in my team. He was a person full of enthusiasm and life. So, it is really tough to accept this harsh news.
As you know death is one of those harsh and hard realities which one can’t but accept. So, please do not lose the strength of your mind. You and your son have a long life ahead. Please keep in mind Yohan’s best wisheswill always be with you throughout the rest of your lives and in the mean time if you need any kind of help please let me know. Dear Mary
I just came to know about your mother. I wanted to say sorry and alsowant you to know that I am thinking of you in this moment of grief. I was thinking what you and your entire family must be going through this difficult moment.
I am really sorry I never initiated to have a one-to-one meet with your mom despite the fact that we had spoken many a times over the telephone. I still can recollect those conversations which gave me an impression that she loved you very much. She has told me on many occasions how heartbroken she felt since she used to stay far away from you. Despite the distance, she always tried to maintain a healthy relationship with you.
I am really sorry I can’t make it to the funeral in person. But once you get back, we will definitely meet.
My sincere thoughts are with you and your entire family.
Yours

APPLICATION LETTER

Writing a personalized cover letter for every job application is crucial. Here are free templates and letter samples to help out.
A cover letter serves two main roles:
  • To grab the employer’s attention, so that a resume gets the notice it deserves
  • To highlight why the applicant would be such an asset to a job/organization
These two functions need to be carried out quickly – in two or three paragraphs. Follow the examples below to help in writing a cover letter to send with a resume.
Template for the Start of a Cover Letter
An email cover letter can begin with a proper formal salutation. Any cover letter sent by postal mail (or included as an attachment in an email) should include the following elements:
  • Receiver’s full name and address
  • Sender’s full name and address
  • Date
  • Salutation
The best salutation is the hiring person’s name. If the job posting does not mention this person (and it rarely does), an applicant can try calling the company to determine the name. Make the call quick – the point is to get a name, not to apply over the phone. If a name cannot be determined, then it is acceptable to start a cover letter with:
  • “Dear Sir/Madam”
  • “Dear Hiring Manager”, etc.
Template for the Body of a Cover Letter
The introductory paragraph should by brief and to-the-point.
  • (optional) “My name is X.”
  • “I was delighted to see an opening for [Job] on [Job Posting Site] with [Company].” Or“[So-and-so] told me you are looking to fill the position of [Job] with [Company].”
  • “With my experience and credentials, I know I would be an asset to your team. I am including my resume (and any other relevant information) for your review.”
The second paragraph is typically longest. It is where the letter’s sales pitch occurs. This is not a time to be modest. When highlighting skills and experience, use words/concepts from the job posting or company website. Mention skills the company has specifically asked for, and quantify achievements whenever possible
  • “While working on my bachelor’s degree in biology, I not only took a course in biotechnology, but obtained a assistantship where I practiced X, Y, and Z.”
  • “I share [Company’s] passion for [X,Y, Z], as demonstrated in my previous job/civic engagement as Director of Sustainable Practices.”
  • “In my 5 years as a Human Resources Specialist, I have reviewed over 800 applications, carried out 60 hires, conducted 15 trainings, and [whatever else of note].”
  • “In my previous position as a Sales Associate, I was able to surpass sales goals 100% of the time, and helped my store achieve year-over-year increases of 10%, twice the national average of 5%.”
  • “I am equally comfortable working independently and collaborating in a team.”
Template for a Cover Letter Closing
The closing of a cover, while brief, is very important. The closing should read similarly regardless of whether it is a postal or electronic letter. Include the elements below as appropriate:
  • (optional) “I know I would be an asset to your company.”
  • “ Thank you for your consideration/time.”
  • (optional) “Do not hesitate to call if you have any questions.”
  • “I look forward to hearing from you.” or “I will contact/call you next Tuesday (Wednesday, Thursday) to set up an interview.”
  • “Sincerely, (Space for signature if postal letter), Full Name and any Designations”
  • An email closing can also include a “signature file” with the applicant’s phone number, email address, and home address.
Many people are looking for generic cover letters that they can use again and again. Yet a job applicant will end up having to send a generic letter again and again, because employers just cast these letters aside. A powerful, tailored cover letter is much more likely to lead to an interview and hopefully, a job offer.

Structure

The usual order of a job application letter or email is:
·         The position applied for: give the title of the job as a heading, or refer to it in the first sentence of your letter, using the reference code if there is one. This will ensure that your application goes directly to the right person in the organization. You should also mention where you saw the job advert or where you heard about the vacancy. If you heard about it through someone already working for the company, mention their name and position.
·         Your current situation: if you’re working, briefly outline your current job. Pick up on the job requirements outlined in the advert and focus on any of your current skills or responsibilities that correspond to those requested. For example, if the advert states that management skills are essential, then state briefly what management experience you have. If you’re still studying, focus on the relevant aspects or modules of your course.
·         Your reasons for wanting the job: be clear and positive about why you want the job. You might feel that you are ready for greater challenges, more responsibility, or a change of direction, for example. Outline the qualities and skills that you believe you can bring to the job or organization.
·         Closing paragraph: in the final paragraph you could say when you’d be available to start work, or suggest that the company keep your CV/résumé on file if they decide you’re not suitable for the current job.
·         Signature: if you are sending a letter rather than an email, always remember to sign it and to type your name underneath your signature.

COMPLAINT LETTER

Formal complain letter.
Dear Sir/Madam
Re: Troublesome Neighbours
On 2 September 2007, a family of seven moved into the apartment beside mine. I have always liked new neighbours as I can make new friends. I even offered to help when they moved in. However, over the next 3 weeks, I discovered to my great dismay that they were very inconsiderate and do not spare a thought for other neighbours like me.
To begin with, they always stay up late till midnight watching television. This is totally fine with me, but they turned the volume of the television too loud, even I can hear it in my bedroom. My son has school the next day and he often complains to me that he cannot sleep as it is too noisy. I am afraid that if this continues, it will be bad for my son’s health as he cannot get enough sleep. Secondly, they rear a dog. I always like animals but not that dog. It is very fierce and barks extremely loud. My wife, who is a housewife, cannot take the noise. Also, when they take it to a walk, they do not have a leash to chain it, and letting it free to defecate around the neighbourhood. This is extremely unsightly and it even once defecated in front of my gates. The smell is also extremely unbearable and other neighbours will have to bear it for their sake. Thirdly, their children often play in their garden and sometimes throw things, mostly litter over the fence into my garden. My wife has to spend half the morning clearing the garden to make it clean. I have tried to tell them about the mess they create in the neighbourhood and advised them to be more considerate and thoughtful, but they have always lost their temper and sometimes even sprouted profanities.
I am sure that you will find these actions inconsiderate. I have given up hope on trying to convince them to change and thus written a letter to complain about them. To be fair, their children are cute, but due to their parent’s misteachings they are also very inconsiderate. I hope you will take action and they can change and become considerate and friendly neighbours.
Yours Faithfully,
A Concerned Neighbourhood Resident

Dear Sir ,
I am writing to complain about a wrong delivery.
I ordered a small-sized short-sleeved apple-red shirt. But you sent to me three extra-large long-sleeved shirts in horrible black and cherry red.
As if this were not enough, I waited two weeks instead of your promised three-days time of delivery. You can imagine how disappointed I am to have received this package. I feel that your company is directly to blame. I am, therefore, writing to return this package. You wrote that the color I ordered is not available. Please send me an alternative for the shirt in other colors or I will have to request an immediate refund of the money I spent on the shirt.
I look forward to receiving your prompt reply.
Yours faithfully,
GLADYS WULANDARI

Dear Mr Choi
Re. Order No. 768197
I am writing to inform you that the goods we ordered from your company have not been supplied correctly.
On 29 December 2010 we placed an order with your firm for 12,000 ultra super long-life batteries. The consignment arrived yesterday but contained only 1,200 batteries.
This error put our firm in a difficult position, as we had to make some emergency purchases to fulfil our commitments to all our customers. This caused us considerable inconvenience.
I am writing to ask you to please make up the shortfall immediately and to ensure that such errors do not happen again. Otherwise, we may have to look elsewhere for our supplies.
I look forward to hearing from you by return.
Yours sincerely
